Add-ons and pricing

The five monthly add-ons, what each one opens up and includes, and how billing works.

The add-ons

The free tools and Bike Archive data come with every shop. Each add-on below is its own monthly subscription. Some include others, so you never pay twice: Status pages include the Phone tools, the Booking page includes Status pages and Custom branding, and AI integration includes everything.

Add-onPriceWhat it adds
Phone tools$5/monthYour phone as the shop's camera: photos straight onto the workorder, and part barcodes and serial numbers read with the camera.
Status pages$7/monthA private status page for every workorder: status, estimated ready date, the estimate and lines if you choose, and photos. Copy the link, or print it as a QR code on the tag. Includes the phone tools.
Custom branding$5/monthYour logo and colours on your status and booking pages, and your own subdomain for them (like status.yourshop.com). Goes on top of Status pages.
Booking page$15/monthOnline booking at book.bike.tools/your-shop or on your own website. Bookings become Lightspeed workorders, booked by your mechanics' availability. Includes status pages, custom branding and the phone tools.
AI integration$35/monthAI Quick Book turns what the customer tells you into a Lightspeed workorder, from their bikes and past workorders and your shop's own style, and the Lightspeed assistant finds things, opens pages and fills in forms for you. Includes everything else.

Phone tools

Your phone as the shop's camera, with nothing to install on it. On a workorder in Lightspeed, Photos puts the photos you take straight onto the workorder, Scan part reads a part's barcode with the phone's camera and adds the item, and Read with phone reads the bike's serial number. On the workorder ticket page, Add photos does the same from the phone you're holding. See Photos from your phone. Status pages, the Booking page and AI integration include them.

Status pages

A private status page for every workorder, booked online or not: its status in your customers' words, the estimated ready date, and, if you choose, its lines and estimate, the photos you mark, and an Approve button for the estimate. Copy the link from the workorder in Lightspeed or from the Workorders page, or let the customer scan the QR code on their printed copy. It includes the Phone tools. See The status page.

Custom branding

Your logo and accent colour on your status and booking pages and in the admin (Settings → Branding), and your own address for those pages, like status.yourshop.com or book.yourshop.com (Settings → Your own booking address; see Your own booking address). It goes on top of Status pages: turn those on first, and turning Status pages off turns Custom branding off with it. The Booking page includes it. Without it, the pages use bike.tools' colour and no logo, and your own address stops serving them. The Note for customers under Settings → Branding is free either way.

Booking page

Online booking at your own booking page, or in a form on your website: customers pick services from your menu, their bike, and a day with room, and each booking becomes a workorder in Lightspeed with the customer, bike and lines. It comes with daily limits, booking by your mechanics' schedules, turnaround, change requests, instant quotes, photo uploads, the bay board and the reports, and it includes Status pages, Custom branding and the Phone tools, so there's nothing else to add. See Online booking and status pages.

AI integration

AI integration is AI Quick Book, and it includes every other add-on. Type the job the way you'd write the tag, in bike.tools (Quick Book) or in Lightspeed (Service → AI Quick Book, or Alt+Q). It drafts the customer, the bike, the workorder and its labor from your menu and presets, and parts it finds in your Lightspeed inventory; you check the draft and press Create, and only then is anything made in Lightspeed. It knows the customer: it reuses their bike when the note names one, and notes when that bike was in lately. It learns how your shop writes workorders from your own (people taken out), and follows that. See Quick Book.

It also brings the Lightspeed assistant: Assistant in Lightspeed's top bar (or Alt+A) answers questions about your customers, workorders and parts, opens Lightspeed pages for you and fills in a customer's details for you to check and save. See The assistant.

Bike Archive data is free

Bike data from Bike Archive comes with every shop, with no add-on: the bike picker and the mechanic's bike card (torque specs, derailleur hanger and frame standards) on the workorder in Lightspeed, the bike card on the ticket page, and Bike Archive's names in Quick Book's drafts. With the Booking page, customers can search for their bike when they book, and its torque specs go in the booked workorder's internal note. See On a workorder.

Turning one on or off

The shop's owner turns add-ons on and off under Add-ons. Turn on goes to a Stripe checkout; when it's paid the add-on works straight away. Turn off cancels the subscription. Each is billed monthly by Stripe, to the card you gave there, and a payment that's overdue shows on the Add-ons page. Admins and staff see what the shop has but can't change it.

An add-on that comes with a bigger one says Included in …. Turning on the bigger one while you pay for one it includes ends that subscription, so you don't pay for both; turning the bigger one off takes what it included with it. Custom branding says Goes on top of Status pages until the shop has Status pages.

When an add-on is off

Its pages in bike.tools say which add-on they need, with a link to Add-ons, and its tools in Lightspeed stay off: under Settings → Lightspeed extension → Modules they say Needs … (Photos, Scan part and the serial reader say Needs Phone tools). Nothing you set up is lost: turn the add-on on again and it's all there. Without the Booking page your booking page says you aren't taking online bookings, and without Status pages a status link says the page isn't available.

Add-ons from before

Shops that paid for the earlier add-ons (reports, the bay board, photo uploads, instant quotes) have them counted as the Booking page; the Add-ons page lists them under Earlier add-ons, where the owner can keep them or turn them off. Bike Archive data used to be an add-on too: a shop still billed for it sees it there, with Turn off, so it doesn't pay for what is now free.
