bike.tools help
Free tools
What every shop gets in Lightspeed for free: Bike Archive data, QR codes on printed tags, status buttons, presets and more, and the Phone tools.
Free with every shop
Every bike.tools shop gets these at no charge, with no add-on. Most live in Lightspeed through the extension, so install it on each shop computer and sign in to bike.tools in the same Chrome. They work on any Lightspeed account connected to your shop, and they change nothing in how Lightspeed itself works: you still save, print and ring out as usual.
- Bike Archive data: Proper bike names from Bike Archive on the workorder, and the mechanic's bike card with the model's torque specs, derailleur hanger and frame standards.
- QR codes on printed tags: Lightspeed's printed tags get a QR code: the shop tag opens the job on a mechanic's phone, the customer's copy opens their status page.
- One-tap statuses: Your statuses as buttons on the workorder, in your colours.
- Job presets: A tune-up, a brake bleed: labor and parts added in one click.
- Customer panel: A customer's bikes and recent workorders beside their Lightspeed record.
- Duplicate-customer catch: A note when a new customer looks like one you already have.
- Workorder tidy-ups: Labor lines that save as you type, bigger notes, and a clearer title.
The phone tools (photos, part barcodes and serial numbers read with your phone) are the Phone tools add-on; see below.
Bike Archive data
Once an admin turns them on under Settings → Lightspeed extension → Modules, the Bike picker names the customer's bike on the workorder from Bike Archive's year, make and model, and the Bike card shows its torque specs, derailleur hanger and frame standards (bottom bracket, headset, seatpost, axles). The same card leads the workorder's ticket page, and Quick Book's drafts use Bike Archive's name for the bike. With the Booking page, customers can search for their bike when they book. See On a workorder.
QR codes on printed tags
There's nothing to paste into Lightspeed and nothing to set up: print the workorder as usual. As Lightspeed opens the print, the extension adds a QR code under the header:
- The shop tag gets a code for the workorder's ticket page, for the mechanic's phone: the job, the bike's torque specs, hanger and frame standards, and its photos (with Add photos, with the Phone tools).
- The customer's copy gets a short link to their status page and its code, with Status pages. Without it, the customer's copy prints as before.
If bike.tools can't be reached, the tag prints without a code after a moment rather than waiting. Details in Printed tags.
Status buttons and Receive
Turned on under Settings → Lightspeed extension → Modules, your Lightspeed statuses sit as one-tap buttons beside the workorder's status menu, in your colours; Lightspeed saves the change as if you'd picked it from the menu. Receive shows while a booked bike is still in the appointment status and moves it to your received status in one press. See On a workorder.
Job presets
A preset is a named set of Lightspeed labor and parts you often add together, like "Brake bleed, both ends". Owners and admins build them on the Job presets page in bike.tools; on a workorder, Presets adds one in a click, at Lightspeed's prices. With AI Quick Book, presets are on the draft too. See Job presets.
Customer panel and duplicate catch
On a customer's record, Bikes & jobs shows their bikes and their last ten workorders. On a new customer, once you've typed a phone number or email, bike.tools looks it up in Lightspeed and says if someone already has it, without ever stopping you saving. See On a customer.
Workorder tidy-ups
Labor and item lines save as you type, the internal and customer notes sit side by side and grow with their text, and the browser tab is named after the customer and bike. You can also hide Lightspeed's quick links and add-time buttons.
In bike.tools itself
Also free: the Workorders page (every workorder in your Lightspeed account with its status in your colour), each workorder's ticket page to print or open on a phone (The workorder ticket), Statuses, the Schedule, Job presets and Settings → Employees.
With the Phone tools
These three need the Phone tools add-on, which Status pages, the Booking page and AI integration include. Without it, they say Needs Phone tools under Settings → Lightspeed extension → Modules and stay off. Nothing goes on the phone: each one shows a QR code to scan with its camera.
Photos from your phone
Once an admin turns it on under Settings → Lightspeed extension → Modules, press Photos on a workorder. A QR code shows; scan it with your phone's camera and take photos (or pick them from the phone's library). Each lands on the workorder as it's taken, up to 33 a workorder, and shows in a strip under the notes. Nothing to install on the phone, and no sign-in: the code works for 10 minutes, for that workorder only. On the ticket page, Add photos does the same from the phone you're holding. Under Settings → Lightspeed extension → Modules → Photos from your phone, admins can also copy each photo to the workorder's images in Lightspeed, and let the ones you mark show on the customer's status page (with Status pages). More in On a workorder.
Scan a part
Scan part on a workorder takes a barcode or QR code from your phone (its camera or a photo, any phone) or a USB scanner, finds the item in your Lightspeed inventory by its UPC, EAN or your own codes, and adds it to the workorder.
Serial from your phone
Read with phone, beside the bike's serial number, opens a QR code. Type the serial on the phone or read its barcode or QR sticker with the camera or a photo. Each one is listed on the workorder with the time it came in, and Use as serial fills in the field.
Turning them on and off
Each tool is a module. Owners and admins turn them on or off for the whole shop under Settings → Lightspeed extension → Modules, and anyone can override one in their own browser from the extension's options. See Turning tools on and off.
